It is a requirement that all studies have an SJH employee as a local supervisor. If your PI is not and employee of SJH, you can nominate a member of your research team who is employed by SJH with appropriate seniority to act as a local supervisor. Alternatively, you can reach out to other suitable SJH staff members to request support for your study.
If they are not showing up, this means they have not created an account with Infonetica. They can do so by clicking this link: https://sjh-tuh.forms.ethicalreviewmanager.com/Account/Login?returnUrl=/ActivityForm/Index and selecting ‘New User’. Please ensure they sign up using their institutional email address.
If you previously created your Infonetica account with a non-institutional email, you can fill in your own details in the section asking for details of the research team and list your institutional email as a contact.
You must list everyone who will be coming on site at SJH and anyone who will be accessing SJH patients or patient data.
When you sign and re-upload the NDA, the R&I programme manager will countersign the NDA on behalf of the hospital.
You can check the status of your application by clicking on the application title, then selecting the R&I branch of the project tree and viewing the Overview panel on the right side of your screen.
In the screenshot above, you can see that the status is ‘Not Submitted’. You will also see that under ‘Action Required’, the status shows ‘Yes’. By clicking on ‘Yes’, a dialogue box will open outlining the action that are required.
You can view the comments on your application by clicking on the application that has been returned with feedback. Then, click ‘Reviewer Comments’ in overview pane on the right side of your screen. This will open a dialog box displaying all comments on your application.
Each comment must be addressed. If an application is resubmitted with unanswered queries remaining, it will be returned to the applicant again, which will delay the approval process.
When the form is returned with feedback, it is unlocked for editing, allowing you to update the information in response to the comments.

At the top of the tree is the main form. From the main form the applicant can create sub-forms, for example progress reports, amendments, annual reports.
For those completing a Pathway 1 application, make sure you have selected the R&I application sub- form branch. If not, you may be viewing your JREC submission instead.
St James Hospital (SJH) current employees who hold a current valid Garda Vetting Disclosure.
Trinity College Dublin (TCD) medicine and nursing students are not required to undergo SJH Garda vetting, as vetting is conducted by TCD as part of course enrolment and a business-to-business agreement is in place. This vetting remains valid for the duration of the course, provided the student remains enrolled in the same course. A new Garda vetting disclosure is required if the student changes course or once the course has ended. Trinity will need to send Human Resources SJH a list of the names and confirm nil disclosure on file.
Trinity College Dublin (TCD) staff are not required to undergo SJH Garda Vetting, as vetting is conducted as part of the TCD onboarding process and a business-to-business agreement is in place. This vetting is valid provided it relates to the individual’s current role. Trinity will need to send Human Resources SJH a list of the names and confirm nil disclosure on file. A new Garda vetting disclosure is required if the individual change’s role, or if the role is updated to involve work with children or vulnerable persons.
Medical interns at SJH are covered by HSE vetting for the duration of their internship.
Researchers coming on site to St. James’s Hospital (SJH) are required to undergo Garda vetting if they are not currently employed by SJH and are not Trinity College Dublin (TCD) medicine and nursing students or TCD employees
Garda Vetting must be completed prior to commencing any on‑site activity on the SJH Campus. This requirement applies regardless of whether the researcher has direct patient contact, as per current SJH policy requirement.
A new Garda vetting disclosure is required if a TCD student changes course if a TCD staff member changes role.

Once completed, researchers must contact HR to organise a suitable time and date to bring Garda Vetting Invitation, proof of ID and proof of address to the HR team for in person validation.
Applicants must present valid photographic identification and valid proof of address at the identity validation appointment, in accordance with National Vetting Bureau and SJH Garda Vetting requirements, for processing of the Garda Vetting application.
